Welsh Variation Service Log

A printable / fillable service log to record service of the Welsh Government variation notice on every contract-holder between 1 and 14 June 2026. Kept alongside any proof of service for at least three years, it materially improves your position if a Rent Authority application is later made.

What this download is not

We deliberately do not include the variation notice itself. The variation document is free from gov.wales and is the only one you should be serving on your contract-holders. This log is the operational wrapper for tracking which contract-holders you have served, how, and when, that audit trail is what the Civil Penalty regime hinges on.

Three reminders printed on the page

  1. The deadline for service is end of day 14 June 2026. First-class post is treated as served on the second working day, so a 14 June postmark is too late.
  2. Best practice: issue a revised written statement reflecting the new fundamental terms within 28 days of service.

What the reminders cover

  1. Day 0 (download). Service log delivered, plus a one-paragraph summary of the deadline.
  2. Day 3. Friendly nudge, "Halfway to 14 June, how many of your contract-holders have you served?" with a link back to the guide.
  3. Day 10 (final-week). Only sent if before 14 June. A calm "Don’t trust first-class post this close to the deadline" reminder.
  4. Day 16 (post-deadline check). Sent only if still subscribed past 14 June: "Did you serve in time? Here’s what to do if you missed the window." Links to the missed-the-window section of the guide.
